A Guide to InterLibrary Loan (ILL) services at Drew University.

Guidelines for ILL

  1. Policy Statement
    1. Interlibrary Loan (ILL) is a mediated process that provides students, faculty and staff with materials not owned by the Drew Library, but available from other Libraries. 
  2. Purpose
    1. This policy and associated procedures describe the terms, conditions, expectations, and systems used for ILL. 
  3. Audience
    1. Currently enrolled students, faculty and staff of Drew University may use Interlibrary Loan.
  4. Definitions
    1. Interlibrary Loan (ILL): a mediated process that provides students, faculty and staff with materials not owned by the Drew Library, but available from other Libraries.
  5. Borrowing Policy
    1. Interlibrary loan services are open to currently enrolled students, faculty and staff of Drew University. Eligible patrons may request physical items such as books, A/V materials, and microfilm, as well as electronic delivery of items such as journal articles and book chapters. Fulfillment of all requests is subject to the availability of resources at the libraries from whom we request. There is no limit on the number of requests that patrons can place, but we ask patrons to be mindful of the processing time needed for a large volume. All physical ILL items may be picked up at, and returned to, the circulation desk. 
  6. Charges
    1. ILL services are provided to Drew patrons free of charge.
  7. Copyright
    1. To obtain the user’s affirmation of his or her awareness of the copyright law and intention to comply with it, a copyright statement is printed within a box located prominently on the ILL borrowing request form.
    2. ILL may obtain only ONE article from a single issue of a journal per patron. For all subsequent articles from that issue, copyright permission must be requested and possible royalties paid. The Library retains the right to cancel ILL requests if copyright charges are prohibitive.
    3. ILL may obtain up to FIVE articles from the same journal, or chapters or small portions of a non-periodical in a calendar year, for publication dates five years or less from today’s date. For all subsequent copies, copyright permission must be requested and possible royalties paid.  The Library retains the right to cancel ILL requests if copyright charges are prohibitive.
    4. Books borrowed from other libraries may not be placed on reserve.
    5. Articles and book chapters obtained from other libraries may not be placed on reserve or posted on Moodle without copyright permissionInstructors are responsible for obtaining any permissions to place ILL photocopies on Moodle.   8. Overdue and Lost Items
    1. For items more than 2 weeks overdue, ILL staff reserves the right to suspend a patron’s ILL privileges until all outstanding items are returned. If the lending library deems an overdue item to be lost, the patron is responsible for payment of their replacement costs. If the patron does not provide payment in a timely manner, their account will be suspended until payment is made.
    2. Library staff will periodically check the hold shelf for items not picked up. Any overdue items on hold will be returned to the lending library.
  9. Document Delivery
    1. Drew will provide electronic delivery of chapters or journal articles available in Drew’s collections, up to a maximum of 3 chapters or sections per book. We reserve the right to limit the scanning of multiple sections if they are prohibitively long or constitute a significant portion of the whole work. Patrons on campus are encouraged to retrieve and scan items themselves, as this is the quickest way to access the material. If a patron requests a loan of a book readily available at Drew, library staff may elect to retrieve the item and place on hold for the patron, or cancel the request and provide instructions for the patron to retrieve the item from the stacks themselves.
  10. Lending Policy
    • Drew loans the following item types from our circulating collections:
    1. Books
    2. Theses/Dissertations
    • Drew does not loan the following item types:
    1. Full eBooks
    2. Sound recordings
    3. Visual materials
    4. Other A/V
    5. Journal volumes
    6. Reference, Special Collections, and other non-circulating items.
    7. Drew will provide scans when possible from items that we do not loan.
  11. Loan Periods 
    1. Drew items are loaned for 16 weeks.
  12. ALA Forms
    1. Drew no longer uses ALA forms except in special circumstances. For libraries that cannot place OCLC requests, we can work one-on-one with borrowing library staff to fill requests. Contact ill@drew.edu with questions

    1. Other Services
      1. Those pursuing more extensive research may want a letter of introduction to another library. Please see a Reference Librarian or the Theological Librarian to arrange this.
      2. Faculty and Graduate Students may want to investigate VALE reciprocal borrowing services, which allows Drew faculty and graduate students to visit and check out books at other libraries in the VALE consortium.
